How to Set Up An Instagram Business Account

Before we begin, if you don’t have a business Facebook account set up already, you won’t be able to complete the steps below or take full advantage of using your Instagram business account. Once you have a business Facebook page, you can create your Instagram business account.

Already have a business Facebook page? Then let’s jump right in. Here’s a step-by-step on how to set up an Instagram business account.

1. Download the app

Unlike other social networks, posting content on Instagram can only be done using the mobile app. So step 1 is to pull out your smartphone, find Instagram in your app store and download.

Note: We’re using iPhone screenshots throughout this post, but the layout should look about the same on Android devices.

2. Create an account using an email address

While it might seem easiest to use your personal Facebook account…don’t do it! That will create an account based on your personal Facebook page. Since this is for your business, you should use your business email address.

Pro Tip: If you use your work email address, contacts may be able to find you more easily using the “Find Friends” feature.

3. Profile basics & choosing a username

Next, you’ll create a username and password. If you’re setting up Instagram for a company, the username should be the company’s name, or as close as you can get it. If you’re a real estate agent, insurance agent, or the like, choose a variation of your name, business, location. You need something that distinguishes you from a personal account.

For example, janejones_NYC_realtor or janejones_insta will work.

Note: Instagram will automatically generate a username for you based on the name you input. This can easily be changed as you go through these prompts.

4. Find Facebook friends & contacts

Then, you’ll be asked to find people to follow via Facebook and within your contacts. It’s best to have your account completed and a photo or two posted before you start following people so it’s okay to click “skip” for now. Instagram gives you the opportunity to find Facebook friends whenever you want from your page settings so this is not a one-time offer.

5. Picking the right profile photo

Picture time! Your profile picture should be your logo or something recognizable that’s associated with your brand if you don’t have a logo. Remember, this is your Instagram business account, not a personal page. Avoid the selfies or group pics. If you’re the face of your business, use a professional headshot you like or take a new one.

After tapping “Add a photo,” you’ll be given a few photo import options. Do not import from Facebook; that will pull in your personal account info. You can import from Twitter as long as it’s a business account.

Once your profile picture is uploaded, you’ll be asked if you want to save your info. This will make future logins faster. You can opt to save, or you can hit “Skip” again.

After that, you’ll see a page with suggested accounts to follow. You don’t have to follow any of them – and you shouldn’t if they don’t fit your strategy. For example, don’t follow Entertainment Weekly if you’re setting up a business account for a real estate company. Click “Done” in the top right corner to move to the next step.

(Again, this isn’t the only chance you have to find people to follow.)

BONUS: Quick button tutorial

Now that you’re finally in the app, the home screen is the first screen you’ll see. Once you follow other accounts, their photos will show up here.

Top buttons:

  • Camera (camera): Tap here to start sharing videos or photos.
  • Direct messages (paper airplane): If someone sends you a direct (private) message, you’ll be notified here. You can also send direct messages from there.

Bottom buttons, from left to right:

  • Home (house): See the latest photos from accounts you follow.
  • Search (magnifying glass): Look up top accounts, people, places, and hashtags, and content or accounts suggested for you.
  • Camera (square with a plus sign): Tap here to upload and share videos and photos.
  • Notifications (heart): See the most recent likes and comments to your photos and what people you follow are liking.
  • Profile (circular photo): Your full account, everything you’ve posted, and access to the settings menu.

6. Complete your profile

Tap on the profile button on the bottom right to see your account, then tap on the “Edit Your Profile” button. This is where you complete your profile info.

Fill out bio and contact information fields. This is the only place on Instagram that allows you to use a clickable URL. For example, if you were to post a URL in the comment of a photo you post, people won’t be able to click it, so don’t waste your time. Your profile is the only place you should put your URL – preferably directing people to your website, or wherever you need them to go.

As for your bio, you’re limited by character count. Briefly summarize what you do and where you’re located. You can edit this section whenever you’d like so don’t worry if the perfect words aren’t coming to you right away.

7. Now comes the business part!

Click “Try Instagram for Business Tools” and follow the self-guided steps and instructions to complete your profile and take advantage of the tools offered. Here is a walkthrough from Instagram about getting started with their business tools.

8. Link your business Facebook page

Remember at the beginning of this journey when we said you needed a business Facebook page to be able to use the Instagram for business tools? Here’s why. Instagram will ask you to link your business Facebook page or create one. For those unaware, Facebook acquired Instagram a few years ago so there is more integration than ever with the two platforms.

9. Start posting

Time for the fun part! As we mentioned earlier, it’s a best practice to have a photo or two posted to your account before you start following people. There isn’t much incentive for people to follow an account with no content. Find a couple of photos you think would be shareworthy.

10. Write captions and use hashtags

Keep your caption brief and use appropriate hashtags. Hashtags are often used in a joking way, but they are also how millions of photos are found, and in turn, your content can be found. The most popular hashtags (#love, #happy, #tbt) range in the hundreds of millions of times used, so if you’re targeting a particular niche, consider using a more specific hashtag.

Also, keep the hashtags to a reasonable number. Followers don’t want to be spammed with dozens of hashtags per post.

11. Follow people and get social!

By this point you have a complete profile, a couple of posts shared, and now it’s time to start following people so they start following you. From your profile page (bottom right icon), go to the options page (gear in the upper right corner).

From here, there are two options near the top, under Follow People:

  • Facebook Friends
  • Contacts

Tap either of these and Instagram will connect to Facebook and your address book. If you’ve got past clients and connections stored on your phone, you’ll be able to see their accounts.

Instagram will show you all of your friends on Instagram that are in your contacts list. Start following other accounts and commenting and engaging with their posts. This is how you get people to start following you back.

As you post more to Instagram and follow more people, you can check your notifications page (heart icon) to see who has liked your photos, started following you, left a comment, or mentioned you in a post.

12. Find and define your brand’s story

Once you’re set up and ready to go, it’s important to decide what your Instagram business account’s purpose should be and keep it on message.  A real estate agent can use Instagram to establish and expand their positive public perception through photos and engaging with followers. That means posting photos of houses they are listing and favorite neighborhood spots to check out — not selfies in the gym or pictures of their doctor’s office while they get a flu shot.

13. Get your name out there

Once you’ve got your account established, be sure the Instagram icon is on your website (best practice would be in your contact/about me section) and in your email signature. You can also include your handle on your LinkedIn page or any other site that drives visitors to contact you.

UPDATE – As of April 2021, Facebook no longer offers a one-click conversion to create a page from your profile, but you can create a page and invite your friends to follow it. Read how to do it quickly below!

Social media is a great way for public officials and government agencies to communicate with the public. As you may already know, these communications are considered part of the public record. But did you know that using a Facebook Profile to share information can unlawfully limit the accessibility of those communications and restrict your ability to comply with public records requirements? If you’re doing official business, you need to conduct it on an official Page. Confused? You aren’t alone. Read on to understand the difference and how to use Facebook effectively and in compliance.

Profiles and Pages are not the same thing

First you need to understand the differences between a Facebook Profile and a Facebook Page. People often use these terms interchangeably, but they are actually very different in how they are accessed and used. A Profile represents an individual person, has friends, and has the ability to show content to some people while hiding it from others. A Page represents an entity such as a business, a government, or a public office. Pages are public by design, and the content on pages can be viewed by anyone, even those without Facebook accounts of their own.

The key difference here is who can view and access the content. The visibility of Profile posts is often limited to the Friends of that Profile, and can be further restricted to only specific Friends. Posts on Pages can be viewed by anyone. The only way to make a Page private is to unpublish it completely. Facebook also restricts the types of content that can be captured and archived on a Profile, which can make it next to impossible to comply with public records requests related to comments or direct messages, both of which are considered public record in most states.

On the other hand, Pages allow for public access to and archiving of posts, comments, comment replies, photos, videos, live videos, direct messages, and more. Anyone can view page posts, even those without a Facebook account, and there is no limit to the number of people who can follow a page.

Transitioning your Profile to a Page has additional benefits beyond compliance:

The benefits of using a Page for official communications go beyond public access and accountability. Page management is also easier for your and your organization:

  • You can assign appropriate Page Roles to other users in your organization to easily share the responsibility of Page maintenance. A profile represents a person and can’t be managed by others without risky shared logins.
  • You can smoothly transfer management of your Page when there is employee or office turnover.
  • You can set up autoresponses for frequently asked questions received through Facebook Messages.
  • You can see which posts are generating the most engagement and the demographic information of your visitors using the Page management and reporting capabilities.
  • You can pin posts to the top of your timeline to make sure they stay top of mind for your followers (you can’t do this on a Profile).
  • You still get to keep your Profile! Just commit to using it for your personal life and not your official business.

You can create a Page in minutes

So what do you do if you already have a following on your Profile, but now recognize the need to bring your communications practices into compliance and take advantage of the additional benefits of using a Page? Facebook no longer offers a one-click solution to convert a Profile to a Page, but you can follow these four simple steps to create a Page and invite your friends to follow it.

How to create a Page:

  1. Log into the Facebook Profile you want to convert and click create a Page.
  2. Enter some basic information about your Page: name, category, and optional description.
  3. Review your selections and click Create Page.
  4. Invite your friends to like or follow your new Page.

What happens next?

  • When you click Create Page, your profile stays intact, but you will now have a Page as well.
  • The friends you invited will be notified of the new Page.

Training users to interact with your Page instead of your Profile

Now that you’ve completed the mechanical steps, you’ll need to go a little further to ensure that your Page is adopted by your constituents. Your friends and followers were automatically notified during the conversion process so here are a few additional tips to make a smooth transition from a personal Profile to an official Page:

  • Create a post on your Profile announcing the change and directing followers to engage with the new Page going forward. Be sure to include a link to the new Page.
  • Create a canned response that you can use to respond to official messages sent to your profile, directing the messenger to your page. While you can’t set up auto-responders on a Profile, you can save this in any text app for easy access. Here’s an example:
    • “Hi! To promote transparency and comply with [your state] public record law, I will only be responding to messages regarding public business through my official Page. Please contact me here: [Facebook Page url]
  • Create a pinned post on your Page explaining the switch (take credit for your transparency!)
  • Update the name, profile photo, and details for your new Page. These are copied from the Profile and may need to be updated for your Profile.
  • If the Profile you just converted was a dummy account, be sure to add your real profile as an admin on the new Page to avoid losing access (see Facebook advisory: Dummy accounts for details).

    1. Go to the Facebook website and log in to your account.

    4. On the left side of the next screen,enter a Page name, select a Category, and write a Description. The right side of the page shows you a preview of your page as you add information to it.

    5. Scroll down and click Create Page

    6. Next you can add images. Click Add Profile Picture or Add Cover Photo to upload photos from your device. Hit Save at the bottom.

    7. A pop-up may appear asking if you want to connect your page to WhatsApp. If you want to, enter your phone number and click Send Code. If you don't want to, click the "X" icon in the top-right corner of the pop-up. 

    8. Your new Facebook page is now created, and you can continue customizing it to your liking. 

    Additional set-up tips 

    Before you write your page's first post, be sure to update your page with additional information for your business.

    1. Make a call to action

    Add a call-to-action button to your business page by clicking Add a Button at the top-right of your page. Choose an action from the available options. You can have visitors book appointments, contact you through Facebook Messenger, download your app, and more.

    2. Choose a page username

    Choose a page username by clicking Create @username under your cover photo and page name. This username will become the web address for your business page (e.g. facebook.com/businessinsider).

    3. Enter upcoming events

    To add upcoming public events, click the Events tab at the top of your page and select Create New Event in the top-right of the Upcoming Events section.

    Quick tip: Make it easy for your future fans to find information about your business's scheduled events. Fans of your page can show interest in your events by clicking a button to indicate their intention to attend.

    4. Update the About section

    To get to the About section, click the More tab at the top of your page, beneath your page name. In the More drop-down, select About. Here you can add a location, business hours, price range, contact information, and more.

    5. Add page roles

    In the sidebar menu on the left, click Settings, then click Page roles to assign roles to other coworkers or brand managers. 

    In the Assign a new page role section, enter a name or email address into the textbox and in the drop-down menu on the right, select a role: admin, editor, moderator, advertiser, or analyst. Click Add when you're done.

    6. Explore publishing tools

    Facebook has built-in scheduling tools that allow you to plan and publish your posts according to a schedule of your choosing. These tools help you automate the process of posting updates. You can save draft versions of your posts here as well.

    7. Convert a personal profile to a business page

    If you have been using a personal Facebook profile for your business, you can convert it to a business page using Facebook's conversion wizard. 

    While the process is called a conversion, it actually copies your personal profile to a page. Your personal profile will remain intact and a new page based on that profile will be created. You can update the newly created page as you would a page created from scratch.

    8. Select page visibility

    Facebook pages are published as soon as they are created. This means an incomplete page would be visible to the public as soon as it's created. 

    If you would prefer to work on your page in private before making it available to the public, you can update its visibility from the page settings menu — click Settings at the bottom of the sidebar menu on the left, and on the General tab, click Page visibility to unpublish your page.

    This will prevent the page from being available until you're ready to publish it again. Remember to update the visibility setting when you are ready to publish it.

    How to Link Instagram to Facebook Business Page

    In this post, we will show you a step by step guide on how to link an Instagram account to a Facebook page.

    The Instagram API requires you to add an Instagram account to a Facebook Page you are an admin or editor on, in order to use third-party platforms to generate your Instagram stories.

    In order to allow the EmbedStories platform to collect your Instagram stories, you will need to connect your Instagram profile with a Facebook page. This is an official API requirement of the Facebook/Instagram platform.

    To fetch Instagram stories you will need to provide permissions to a Facebook account that is an admin to a Facebook page that is connected with the Instagram profile from where you want to generate Instagram stories.

    Depending on the Facebook page interface you as a user has at this moment (old or new), below are two tutorials.

    Important: Your Facebook account need to have the admin role to manage the Facebook page that you want to connect with an Instagram profile.

    Option 1: Link Instagram account through the new Facebook Page interface

    Here are the steps on how to connect an Instagram profile with a Facebook page for users who have the old Facebook interface:

    Step 1: Open your Facebook page and click ‘Page Settings’ in the bottom left corner

    Step 2: In the left-hand menu choose Instagram and click ‘Connect Account’

    Step 3: A popup will appear where you need to login to your Instagram profile and once you log in, follow the steps to convert the Instagram profile to a Business / professional profile.

    Once finished you will receive a success message ‘You’ve switched to a business account on Instagram’.

    If you still do not see the Instagram accounts on the list, contact us for additional help.

    That’s it, now you have linked accounts.

    Step 4: Go back to EmbedStories, and in the Accounts page and click ‘Refresh’ (if you’ve just created an account in the setup process then you can click ‘Refresh Accounts’ in the Select Source page, as shown below.)

    Once the page refreshes, it will show your Instagram account in the table.

    Step 5: To create your Instagram stories widget and start generating the stories just select the profile and click ‘Create widget’.

    Please note: that you can have multiple Facebook pages connected to different Instagram accounts, that EmbedStories can sync and generate the related Instagram stories.

    Option 2: Link Instagram account to Facebook page through the old Facebook Page interface

    If you use an old Facebook Page interface, then the steps are all similar, only the navigation to the settings section defined in Step 1 is on a different position – top-right corner, as shown below:

    All other steps are the same as in Option 1.

    Option 3: Link Instagram account to Facebook page through the Instagram app

    You can switch your Instagram account to a professional or link it to a Facebook page, by using the Instagram app interface. Here are the official tutorials:

    Change the Linked Facebook Business Page in your Instagram Account

    If for some reason you need to connect your Instagram business account to another Facebook page managed with the same Facebook profile, or unlink account, just follow the steps below:

    • Open the Instagram app, go to your Instagram profile and tap ‘Edit profile’
    • In ‘Public Business information’ section tap on Page
    • In the list just select different Facebook page and tap Done in the top-right corner

    Share Instagram photos and stories on Facebook Page

    This is the same step by step if you ever want to link Facebook with an Instagram account in order to share Instagram posts to a Facebook Page directly.

    This way you will publish the same content from the Instagram mobile app (for both iPhone or Android) directly on your Facebook Page as a Facebook post at the same time.

    Just follow the instructions outlined above that will help you to basically convert a personal account to post directly on a Facebook page for business purposes.

    Once this is connected to share new posts you will get an option to select the Facebook Page before you tap Share on the last screen in the Instagram sharing flow.

    Now I have a business page on Facebook, how can I delete my personal profile?

    I set up a Facebook account for my business but I did it as a personal page. I then realised my mistake, so I now have a shortcut link to a business page. How can I delete the personal page, because I only want to have one business page? Jenny

    You can’t. As I understand it – which is always fuzzy, given the way Facebook keeps changing things – every page must be linked to a personal profile. However, the link isn’t visible to other users, unless you add it yourself.

    In an online answer, Jade from the Facebook Help Team says: “We will never release your name to the general public stating that you are linked to the Page. Please know that the Personal Profile must represent a real person and can not have the name of a business.”

    However, you can always set Facebook’s privacy control to restrict access to your personal page. Click the down arrow in the top right, select Settings and then Privacy. The section on “Who can see my stuff?” provides options from “Public” to “Friends” to “Only me”. You don’t need to delete your personal profile if only you can see it.

    In general, I think Friends is the best setting for small and personal businesses, assuming you are active on Facebook. Your friends are most likely to Like your business page, most likely to comment, and most likely to recommend it to their friends. Large corporations have other ways to generate a following, but friends do it without you having to pay for it.

    Facebook was launched in 2004 as a social networking website, initially for students at Harvard University. It was based on the idea of connecting real people in real time, and users’ identities were based on their university email address. This fundamental concept was maintained as Facebook expanded to other universities, schools and colleges, then to work networks, and eventually to everyone aged 13 and over.

    The only concession is that – following protests from drag queens, among others – Facebook now allows people to use the names they use in real life, even if they are not their birth names. (Lil Miss Hot Mess was “beyond thrilled”.)

    None the less, it is against Facebook’s terms of service to set up a personal account using a business name, or to use a personal account for business. If you do this, Facebook can and often will delete your account. Since Facebook knows who you are, it may not be easy to create a new one.

    Facebook tried to solve this problem by introducing Facebook Pages for Businesses, which were announced on 6 November 2007. This process is by now pretty much automated at Create a Page, where Facebook offers set-ups for local businesses, companies and organisations, brands and products, artists and public figures, entertainment, and community causes.

    Pages plusses

    Pages have advantages over profiles. For example, you can have an unlimited number of business pages, with an unlimited number of followers. You can block people, block certain words, and turn on a Profanity Filter. You can access Page Insights with demographic information about visitors, and you can create advertisements to boost posts. You can also use Page Roles to allow other people to edit, moderate, or even contribute to your business page.

    The main thing you lose is privacy controls.

    Most individuals, and many small businesses, do not understand the difference between personal profiles and business pages, and some fall naturally into grey areas, such as pseudonymous users with stage names. Facebook therefore makes it easy to convert personal profiles into pages. For instructions, see: How do I convert my personal account to a Facebook Page?

    Facebook says “the name on your personal account will become the page’s name.” This is clearly not what you want, but you can change it later. Also note that posts on your personal profile are not carried over to your new page. This will be a good thing for some users and a bad one for others. Some users may need to download the data from their personal profile – that option is under Settings – and re-upload posts to their new page.

    Of course, even if you are not planning to create or convert a page, it’s always a good idea to back up your data.

    Promoting your page

    Facebook has some short tutorials on how to Promote Your Business From Your Facebook Page, plus Blueprint eLearning, which offers a number of short courses.     If you want to create a Facebook page or want to manage a FB page, you have to have a personal Facebook account as well. But fortunately, there is a way to create one and still don’t show yourself publicly.

    In this short tutorial, we are going to show you the process of creating a Facebook business page, even if you are not on Facebook currently.

    Do you need a personal account to create a Facebook business page?

    A couple of years ago it was possible to create Facebook business pages without having a personal Facebook profile but this is no longer possible.

    So you might have found some tutorials online that show you how to create a Facebook page without a Facebook account, but those processes no longer work, so don’t bother replicating them.

    You have to create a personal Facebook account if you want to create or manage a Facebook page. But I understand that you might not want to create a personal Facebook profile because of privacy or any similar reasons.

    But don’t worry, we are going to show you two ways how you can create a Facebook profile and still stay completely anonymous.

    Create and manage a Facebook page without a profile (2 methods)

    There are two kinds of workarounds if you don’t want to have a public personal profile:

    1. create a Facebook profile with not your real name
    2. create a Facebook profile but make yourself as invisible as it is possible

    So all you have to do is to create a Facebook profile with a fake name. Facebook doesn’t require uploading a profile photo where your face is clearly visible, or you can also just skip the photo upload part.

    So there is a risk that they might require you to identify yourself with an ID and if you are not using your real name that could be a problem.

    Create a Facebook profile but make it private

    So instead of using the fake Facebook profile method, we would recommend the following.

    You should still make a Facebook account with your real name, but you can make your Facebook account completely private.

    You can’t. As I understand it – which is always fuzzy, given the way Facebook keeps changing things – every page must be linked to a personal profile. However, the link isn’t visible to other users, unless you add it yourself.

    In an online answer, Jade from the Facebook Help Team says: “We will never release your name to the general public stating that you are linked to the Page. Please know that the Personal Profile must represent a real person and can not have the name of a business.”

    However, you can always set Facebook’s privacy control to restrict access to your personal page. Click the down arrow in the top right, select Settings and then Privacy. The section on “Who can see my stuff?” provides options from “Public” to “Friends” to “Only me”. You don’t need to delete your personal profile if only you create a facebook business account without a personal account see it.

    In general, I think Friends is the best setting for small and personal businesses, assuming you are active on Facebook. Your friends are most likely to Like your business page, most likely to comment, and most likely to recommend it to their friends.
